Subcontractors
To add a subcontractor to your database is similar to adding an employee. Subcontractors can also be assigned a color and a short name on the right-hand side of the profile so that the subcontractor and the names of their employees are easier to identify in the job. It is also possible to specify a department or location under which the requests are then created. Contact persons and employees can also be stored for each subcontractor.
Subcontractors would also need access to CrewBrain and you have to define a user group for them (default is guest). The subcontractor will have a login name and a password.
Subcontractors in a job
When planning your staff in a job, you have the option to set a filter for subcontractors. Now you can put him on available, request or directly book him - as you would do with an employee/freelancer. If you choose a subcontractor and put him via drag and drop in the respective category, a small dialog will open. You are asked how many employees of this subcontractor you need for the job. When you send out the request or booking mail, the subcontractor will see how many people you need. In your job, you'll have the number of requested employees mentioning the subcontractor's name. He can give you the information about the names and maybe phone numbers.
Employees
Employees can be stored in the system for each service provider. Either via the base data profile of the subcontractor or by the subcontractor themselves under “My account”. Additional personal information about the subcontractor employees can also be saved there (e.g. dates of birth for registration lists, etc.). The corresponding profiles can then be selected in the jobs.
Each subcontractor can define for themselves after how many months (default: 3 months) the employee data should be deleted if it is not used. So if an employee is not selected for future events for three months, the system automatically deletes the personal data. As the value is specified by the subcontractor, it is the responsibility of the subcontractor to ensure the retention period of the data it transmits to its customers.
Vehicles
Vehicle categories can also be stored in the subcontracor's base data profile. This then makes it possible to request and book vehicles via the service provider - for example with car rental providers. The same functions are also available for vehicles as for employees or free vehicles in the request dialog and the subcontracor can store the availability accordingly in the system.
Automatic completion
If the subcontractors use their own CrewBrain account and synchronize the data, their own employees already booked in the job are now automatically selected and suggested to them when they report back to the customer. This means that the names of the employees no longer have to be entered manually.
User group
As a subcontracor should have access to at least the jobs for which they are requested, they must also belong to a user group. You can use our predefined “Guest” user group for this. This user group only has access to jobs for which it has been requested. Of course, all groups can still be customized.
For subcontactors, it also makes sense to give them read access to the “basic project data”. In this way, the requests are grouped correctly in the service provider's account, even if they do not actually have access to projects.
