Statement and Timerecording
CrewBrain supports different methods for employee payroll and time recording. These methods usually refer to the employee's employment relationship. Freelancers or mini-jobbers, for example, are usually billed according to hours, flat rates or daily rates, while a flexitime account is kept for permanent employees.
Only after defining the payroll type in the master data, the employee can participate in the time recording - manually or via time clock.
Configuration
An important basic requirement for the use of payroll and time recording is the configuration of a payroll period for the employee or freelancer. This can be set up in the master data in the employee's or freelancer's profile under the section Payroll & Time Recording.
Payroll periods represent the contractual situation with an employee or freelancer. Accordingly, they have a validity period. In case of changes in the contractual relationship (for example, an increase or decrease in the number of hours), a new payroll period needs to be created. This period has to start on the exact date of the change in the contract. A retroactive change (backdating) is also possible.
Changes to an existing payroll period always affect the working times already recorded. Therefore, please always check carefully whether a change to the existing period is correct or whether a new period would need to be created as of a certain date.
To ensure a correct historical time account after a conversion, e.g. from an employee to a freelancer, it is necessary to define the type of the employee for the payroll period. After the conversion of an employee or freelancer, a new period has to be created, to ensure the correct calculation of the time account.
