Depending on which payroll type has been stored for an employee in the master data, it can be found under the menu item “Payroll” or “Time recording”. For “Payroll according to hourly or flat-rate pay”, it can be found under “Payroll”, for “Time recording with flexitime account” under “Time recording”.

Under the menu item “Payroll”, monthly, weekly or annual payrolls can be viewed in an overview of all employees, freelancers and service providers, or filtered by individual employees, freelancers or service providers. In each overview, the jobs are displayed with the corresponding working hours and calculated from the payroll accounting stored in the base data.

Display a single employee, see their monthly statement. Below each job, you can see the earnings recorded in the master data or within the job, as well as the recorded working hours. The working hours can be approved or rejected in one step at the bottom. This is possible in both weekly and monthly views.

If you check "Employees without earnings" (general overview) or "Jobs without working hours" (individual employee), it will show you which jobs the corresponding employee has not yet recorded times for.

If you check "Month billed," this is also visible for the corresponding employee through a green bar in the statement. Who is allowed to "bill" or "close" a month can be defined via the user groups (Administration > General > User Groups > Billing & Time Tracking). Thus, it is possible, for example, to entrust personnel department members with this function.

The statement can be displayed and printed in PDF format. It is also possible to export the file in other formats (CSV, XLSX, or Datev format).

Add Times

Within the monthly statement of a single employee, freelancer, or service provider, you can record "independent times" (working hours that do not refer to any specific job) or "working hours" (related to a job, project, or task) for the selected month by clicking the plus sign at the top right. Enter the time category, optionally the activity, and the date and time. Depending on the settings, the times may need to be approved first.

Add Vacation

Within the monthly statement of a single employee, freelancer, or service provider, vacation periods can be recorded by clicking the plus sign at the top right. Click on "add more vacation," enter the period, optionally the reason and the category. The latter is relevant for recording in the correct time account (vacation or flexitime account). If the vacation is not all-day, uncheck the corresponding box and enter a specific period. "Daily recurring periods" can also be set here.

Add Sick Leave

Within the monthly statement of a single employee, freelancer, or service provider, you can record sick leave by clicking the plus sign at the top right. Click on "add more sick leave," enter the period and the reason, and upload the corresponding sick leave document.

Payout

Within the monthly statement of a single employee, freelancer, or service provider, you can record how balances should be settled or adjusted by clicking the plus sign at the top right. This can be either in the form of vacation days or as a payout. In the case of billing, the balances refer to vacation days and the salary account, while for time tracking, they refer to vacation days and the hours account. In time tracking, you can also maintain a daily account, allowing whole days to be paid out.

DATEV Export

With the DATEV export, employees' working hours can be exported for the DATEV products "Lodas" and "Lohn + Gehalt." The export can be accessed via the download icon at the top right. Individual employees can be activated or deactivated. Additionally, for "Lohn + Gehalt," the export is also supported on a monthly basis instead of a daily basis.

Under Administration > Time Tracking > Datev Export, you can create different Datev profiles (e.g., for permanent employees or mini-jobbers, etc.), which you can then assign to your employees in Master Data > Billing & Time Tracking.
