The steps to add a freelancer to your database are similar to the steps to add an employee. Please have look there to get all the information.

Employees can be converted to Freelancers and vice versa. You can do so, by clicking the 3 points in the upper right corner in the employee's or freelancer's profile. When you click "convert" then, a dialog opens and you have to confirm the conversion.

Please note that it might be necessary to define a new statement period for this person after conversion. Also for the statement period it is needed to specify if the person is an employee or a freelancer. So if this role changes, make sure you change it in every necessary context. Please always create a new statement period when you do any changes regarding the payroll. Otherwise the system would apply the changes to the whole existing period, so also for the past.

A Freelancer can be billed separately for each job whereas an employee can only be billed each month.

Another difference is, that Freelancers are able to register their availabilities in the calendar.

Availabilities of Freelancers

Especially for Freelancers CrewBrain has categories of absence which can be created and modified at Administration > Time-off & Absence > Categories. By default you'll find 2 categories (available and absent) which can be multiplied and color-coded as desired.

Freelancers can enter their availabilities and absences in the availability view in the left menu bar. They only need to click on the respective dates. This makes entering the time periods simple and intuitive, and schedulers can then view the information in various calendar views and in the request dialog.
