To calculate supplements or other special wage components such as on-call times or service times you can use wage components. The automatic break deduction is also respected, but only for full-day surcharges. It does not apply to surcharges for limited time periods as the system does not know the exact periods. However, breaks should be recorded anyways. The automatic break deduction is only an option to control.
The configuration of the wage components can be a little complex, so if you need help, please contact our support team. We are happy to find an individual configuration of your company specific regulations.
Wage components can be created directly in a payroll period for a specific employee or centrally as wage component definitions. You can then use these definitions (Administration > Time recording > Wage components > Definitions) for several employees and also change them centrally if required.
Categories
Before creating the first salary components, you should create categories for these components (Administration > Time recording > Wage components > Categories). You can directly define the pay type for each category. Later on, any number of salary components can be assigned to each category. They will be displayed grouped in the payroll and in other places. Typical categories would be "Night work", "Sunday work" or "Holiday work", but if different levels of supplements apply and these need to be evaluated separately, it may be useful to create "Night work 25%" and "Night work 40%" separately.
Observation period
You can select between 3 observation periods:
- day
- week
- month
Depending on the choice of period, you have different options of editing the wage component. In most of the cases, the observation period "Day" is sufficient. The other options could be used for example to make retroactive allocations on a weekly or monthly basis in accordance with collective bargaining or employment agreements.
Time account
This is where you define for which time account the current component is relevant. The following time accounts are available:
- Working hour (default)
- Standby (for standby times)
- Callout (for (emergency) callouts during the standby time)
- Overtime (for requested overtime)
Workdays and holidays
Here you define on which workdays this wage component applies. Weekdays also include the holidays, whereby a distinction can be made between the different categories (if defined) for the holidays. This is relevant in case of differing public holidays at different branches for example.
Time categories
You can also select the time categories to which the surcharge should apply. E.g. should it apply only for working hours or also for driving times, trainings and so on.
Period of time
For some wage components it is necessary to define a certain period of time, during which the surcharge is calculated. A night shift would be an example. For the night shift you could enter 20:00 - 06:00. For Sundays and public holidays the option "All-day" would apply. For "All-day" periods the following day can also be considered up to a certain time.
Duration
